Effective Registration Inc. and its operating divisions ("Effective Registration", “we”, “us”, “our”) are committed to providing excellent service and, because we respect your rights to privacy, we have developed this Privacy Policy to inform you about the practices that govern how we use and disclose personally identifiable information (“Personal Information”) that we collect from anyone that interacts with of our websites and domains (“User”, “you” “your”) - including all webpages, subdomains and subparts (our "Sites").

Acceptance of This Privacy Policy

Personal Information

For the purposes of this Privacy Policy, Personal Information means any information that identifies, or could be used to identify, an individual. Personal Information does not include encrypted or publicly available information unless that information is combined with other un-encrypted private information that is considered Personal Information.

Consent to Collection of Personal Information

We do not, except where otherwise permitted by law, collect, use or disclose your Personal Information unless you are aware of the purposes for which the Personal Information will be used or disclosed, and you have given your consent to such use or disclosure. Sometimes your consent will be implied through your conduct with us if the purpose of the collection, use or disclosure is obvious and you voluntarily provide the information.

General Policy Regarding Disclosure of Personal Information

We do not and will not disclose Personal Information collected on our Sites to any third party, except where necessary to provide services to our clients, when required by law, or to enforce our Terms of Service.

Disclosure to Event Organizers

Planners, coordinators and organizers (“Organizers”) of events, meetings, workshops or conferences etc. (“Events”) engage us to collect information on their behalf. Sometimes Organizers provide Personal Information to us for the purpose of inviting you or others to register to attend an Event or to complete a survey. When you willingly submit Personal Information that information is disclosed to the Organizer for their use. Personal Information gathered by us on behalf of an Organizer is owned by the Organizer. We are not responsible for the privacy practices of Organizers.

Disclosure to Third-Party Service Providers

In order to fulfill our services it may be necessary to submit Personal Information to third-party service providers such as credit card processing gateways, accommodation or travel reservation systems etc. (“Service Partners”). We are not responsible for the privacy practices of Service Partners.

Violation of Terms of Service

We may disclose Personal Information if we believe that disclosing such information is necessary to identify, contact or bring legal action against any User that is violating our Terms of Service or may be causing injury to or interference with other Users or anyone else who could be harmed by such activities.

Limitation of Service

You may choose whether or not to submit Personal Information while using our Sites. However, in most cases, our Organizers or Service Partners require Personal Information in order to complete registration for an Event or completion of a survey. Consequently, choosing to withhold Personal Information, may limit your ability to use our services.

Aggregate Data

We may aggregate certain information to help us understand system performance or measure key usage, operating, demographic or performance metrics. Aggregate data does not include Personal Information. We may share aggregate data with third parties.

Internet Protocol “IP” Addresses

An IP address is a numerical address assigned to each device on a network. Where possible we use IP addresses to identify regional location to enhance the user experience (for example providing lists of states), prevent fraud (restrict credit card payments from certain countries), assist in monitoring activity that contravenes our Terms of Service, or diagnose problems with our servers

Security Measures

We have made arrangements to secure against the unauthorized access, collection, use, disclosure, copying, modification, disposal or destruction of Personal Information.

Secure Socket Layers (SSL)

We use Secure Socket Layer (SSL) to encrypt data transferred between Users, Organizers and our Sites. However, no system is perfectly secure or reliable, the Internet is an inherently insecure medium, and the reliability of hosting services, Internet intermediaries, your Internet service provider, and other service providers cannot be assured. When you use our services, you accept these risks and the responsibility for choosing to use a technology that does not provide perfect security or reliability. Where required we use a Thawte SSL Server Certificate to enable encryption on the Sites, thereby giving you the ability to communicate securely with that Site. Password Protection

Only authorized personal with unique usernames and passwords have access to our application and database servers. Furthermore, each Organizer must use unique usernames and passwords in order to access the Sites.

Firewalls and Network Segmentation

Firewalls are used to protect against threats from the public Internet by analyzing network traffic and determining whether access should be granted based upon a set of predefined rules. We also limit access to our application by segmenting the network for different functions.

HTTP Cookies

Definition

A ‘cookie’ is a small data file placed in a web browser when a website is accessed. Cookies cannot read or access data from your hard drive or access other cookies. A “session” cookie remains in the web browser until the browser is closed. A “persistent” cookie remains on your device until it expires or is deleted. A persistent cookie will be reactivated when you return to the website that originally posted the cookie.

Use of Cookies

We use session cookies to ensure idle sessions are automatically closed – often referred to as “timeouts”. We use persistent cookies in some circumstances for user authentication and personalization of our Sites.

Blocking Cookies

Your web browser provides you with unfettered ability to block, restrict or delete cookies from your browser. However, cookies are necessary for most features of the Sites and blocking or restricting cookies may prevent or significantly limit your ability to access certain content or functionality. Registration for Events, completing surveys, managing Events will not be possible with cookies blocked or restricted.

Changes to this Privacy Policy

We reserve the right to modify this Privacy Policy at anytime without notice. The Privacy Policy posted at any time or from time-to-time via the Sites shall be deemed to be the Privacy Policy then in effect.
