Planners, coordinators and organizers (“Organizers”) of events, meetings, workshops or conferences etc. (“Events”) engage us to collect information on their behalf. Sometimes Organizers provide Personal Information to us for the purpose of inviting you or others to register to attend an Event or to complete a survey. When you willingly submit Personal Information that information is disclosed to the Organizer for their use. Personal Information gathered by us on behalf of an Organizer is owned by the Organizer. We are not responsible for the privacy practices of Organizers.
In order to fulfill our services it may be necessary to submit Personal Information to third-party service providers such as credit card processing gateways, accommodation or travel reservation systems etc. (“Service Partners”). We are not responsible for the privacy practices of Service Partners.
We may disclose Personal Information if we believe that disclosing such information is necessary to identify, contact or bring legal action against any User that is violating our Terms of Service or may be causing injury to or interference with other Users or anyone else who could be harmed by such activities.
You may choose whether or not to submit Personal Information while using our Sites. However, in most cases, our Organizers or Service Partners require Personal Information in order to complete registration for an Event or completion of a survey. Consequently, choosing to withhold Personal Information, may limit your ability to use our services.
We may aggregate certain information to help us understand system performance or measure key usage, operating, demographic or performance metrics. Aggregate data does not include Personal Information. We may share aggregate data with third parties.
An IP address is a numerical address assigned to each device on a network. Where possible we use IP addresses to identify regional location to enhance the user experience (for example providing lists of states), prevent fraud (restrict credit card payments from certain countries), assist in monitoring activity that contravenes our Terms of Service, or diagnose problems with our servers
We have made arrangements to secure against the unauthorized access, collection, use, disclosure, copying, modification, disposal or destruction of Personal Information.
We use Secure Socket Layer (SSL) to encrypt data transferred between Users, Organizers and our Sites. However, no system is perfectly secure or reliable, the Internet is an inherently insecure medium, and the reliability of hosting services, Internet intermediaries, your Internet service provider, and other service providers cannot be assured. When you use our services, you accept these risks and the responsibility for choosing to use a technology that does not provide perfect security or reliability. Where required we use a Thawte SSL Server Certificate to enable encryption on the Sites, thereby giving you the ability to communicate securely with that Site. Only authorized personal with unique usernames and passwords have access to our application and database servers. Furthermore, each Organizer must use unique usernames and passwords in order to access the Sites.
Firewalls are used to protect against threats from the public Internet by analyzing network traffic and determining whether access should be granted based upon a set of predefined rules. We also limit access to our application by segmenting the network for different functions.
A ‘cookie’ is a small data file placed in a web browser when a website is accessed. Cookies cannot read or access data from your hard drive or access other cookies. A “session” cookie remains in the web browser until the browser is closed. A “persistent” cookie remains on your device until it expires or is deleted. A persistent cookie will be reactivated when you return to the website that originally posted the cookie.
We use session cookies to ensure idle sessions are automatically closed – often referred to as “timeouts”. We use persistent cookies in some circumstances for user authentication and personalization of our Sites.
